    Administrative Assistant Job Description

    Administrative Assistants who are also known as the Administrative Coordinators or Administrative Specialists assist the management department and meet all the visitor’s needs by handling all types of office tasks. The person is also responsible to check the phone, and emails, doing travel arrangements, and always helping the other staff in the workplace.

    Roles and responsibilities

    • Office tasks should be handled with good management skills.
    • The candidate is responsible to file and generate reports, prepare for the presentation, setting up the meeting, and give the order for timely supplies of the product.
    • Responsible to maintain professional communication with the clients via mail and phone.
    • Responsible to make the travel arrangements like booking train tickets, flight cars, and booking hotel rooms or arranging a table at a restaurant for meetings.
    • Good time management for scheduling appointments with clients.
    • Good knowledge of computers for preparing a presentation and generating reports.
    • The candidate must have good communication and intrapersonal skills.
    • Assist, greet and support the company visitors.
    • Organize, plan and schedule the meetings and conferences.
    • Strictly follow office rules, policies, and procedures.

     Administrative Assistant key skills required

    • Good skills to maintain the office management system and procedures.
    • Computer basic knowledge including MS office.
    • Candidate must also know the way of using fax machines and printers.
    • Skills of good time management.
    • Ability to work in a team and working multi-task.
    • Good typing speed to prepare any document on time.
    • Accuracy to maintain the contact list of clients and visitors.
    • New search and research for the new deals and suppliers.
    • Ability to handle team leadership and should also assist the supervisors.

    Education, training, and Certifications

    • Bachelor’s degree in Associate and related field.
    • Working experience as an administrative or secretary will be given priority.
    • Certificate of computer basic course.
